Separate three kinds of cost
Implementation pays for discovery, configuration, integration, testing, and handoff. Operating costs cover subscriptions and usage. Ownership costs cover review, exceptions, maintenance, and changes when a tool or process changes.

What changes the price?
- How many tools are involved, and whether they offer suitable integrations.
- The condition of the data and whether a migration is required.
- The number of different paths, exceptions, and permissions.
- How much human review and recovery tooling is needed.
- Whether the team needs a new interface or can use its existing tools.
One intake form feeding a reviewed response draft is a different project from a multi-team customer portal. Ask the proposal to describe both its boundaries and its acceptance checks.
Compare costs with usable value
A fictional workflow saves 20 hours of handling time but adds 4 hours of review each month. At an assumed $50/hour, the 16 recovered hours represent $800 of capacity. With $100 in tools and a $500 care plan, the modeled net benefit is $200/month. A $3,500 build then has a 17.5-month capacity-inclusive payback.

Five questions for a proposal
- What exact trigger starts the workflow, and what counts as complete?
- Which accounts will we own, and what will they cost?
- Who checks the output, handles errors, and has access?
- What examples must pass before launch?
- What support is included, for how long, and at what response target?
