An inquiry might arrive through a website, a spreadsheet, a phone call, or an email. Trouble starts when each source has its own informal process. Someone copies the details, someone assumes a colleague will follow up, and the unfinished work becomes hard to see.
A useful first project makes the handoff explicit. The goal is a reliable record and a clear responsibility, with enough information for a person to take the next step.
A practical first workflow
- Capture a new request with its source and relevant details.
- Match it to an existing customer where possible, with a defined rule for duplicates.
- Assign an owner using your actual service area, team, and customer rules.
- Create a next task and show overdue or unassigned work.
- Stop or change reminders when the customer replies, the owner changes, or the request closes.
- Flag failed updates so someone can resolve them.
What the project includes
We map the current handoff, connect the agreed systems, test representative examples, and walk your team through the result. The handoff explains who owns the workflow, what to do when something fails, and which changes need maintenance.
Software access and integration options are checked before a scope is promised. Automated customer messages, if included, need their own approved wording, contact rules, stop conditions, and testing. They are not a default part of every project.
How to tell whether it helped
Start with the share of valid inquiries that have an owner and a next action. Track unassigned records, overdue tasks, duplicate creation, and time from receipt to the first recorded human action. Separate an attempted message from a customer response.
Compare equivalent periods and explain changes in volume or staffing. A cleaner CRM is useful, but it does not by itself prove more sales.
