The business need
At rokrbox, customer information needs to move between the tools used by the team and its real estate clients. Customer setup, lead assignment, billing, and reporting all depend on those connections.
Zapier handled many of these recurring jobs. Its subscription had reached $3,155.68 per month.
Illustration of the process.
What I changed
I replaced those Zapier workflows with custom software and took responsibility for getting it into everyday use.
- Connected the customer systems so information could move between them without rebuilding the same record in each tool.
- Built the recurring jobs around how the business handles new customers, assignments, billing, and reporting.
- Made problems easier to handle with ways to spot failed updates, try them again, and resolve issues.
- Helped customers get started by setting up their connections, explaining the process, and providing support.
The result
The Zapier subscription was eliminated after the workflows were replaced.
The wider software platform I build and maintain supports 100+ active client accounts. My work includes keeping it running and helping the people who rely on it.
Subscription cost eliminated: $3,155.68/month, or about $37,900 annualized. This is before the replacement’s hosting, development, and maintenance costs.

If you’re paying for a collection of tools that still leave your team copying information or chasing updates, we can look at the whole process.
Sometimes the answer is connecting what you already have. Sometimes a small custom tool is worthwhile. I’ll help you compare the cost, the work it removes, and what it will take to maintain before recommending a build.
